Executive Vice President

Job Description

 

The Executive Vice President serves as the chief administrator of Portland Metropolitan Association of Building Owners and Managers (BOMA). The EVP has the responsibility for execution and implementation of all Association programs and is directly responsible to and serves at the pleasure of the Executive Committee and Board of Directors.

 

The EVP is responsible for the overall management, administration and direction of the Association activities and its office. The EVP serves as the communications link between the elected officers of the Association, committee members, the general membership, staff, public officials, other organizations, and the public. The EVP will also provide management and oversight for six related non-profit associations.

 

 

Responsibilities:

 

Finance & Accounting

 

   Directs and oversees the annual budgeting process in accordance with the financial goals of the organization.

 

   Manages cash flow and investment of any excess in accordance with anticipated future needs, and ensuring sufficient cash is available to pay bills.

 

   Supervises the Association bookkeeping activities to ensure the monthly accounting is accomplished, including receipts and disbursements, payroll and related tax reporting, reconciliations, accruals, and closing the accounts. Approves and signs checks.

 

   Reviews monthly financial reports for presentation to the board that compare actuals to the budget.

 

   Ensures that internal control procedures are in place to conserve assets and to reduce unnecessary expenses.

 

   Ensures that appropriate security policies and procedures are in place to protect the Association's finances and accounting systems, including adequate back up systems.

 

   Develops sponsorships to fund Association core activities and special Association events.

 

   Develops new sources of non-dues revenue for the Association.

 

 

Management & Administration

 

   Plans and conducts general membership, Board and Committee meetings.

 

   Oversees all committees and volunteers and their activities.

 

   Negotiates and oversees contracts with other associations administered by BOMA.

 

   Ensures compliance with requirements of contracts entered into with other associations (for the provision of administrative services).

 

   Serves as publisher of all Association publications, including design, format, content, financial stability and distribution.

 

   Manages the outsourcing of the “Industry Outook,” including design, format, content, financial stability and distribution.

 

   Obtains legal counsel to advise on matters of Association business and proposed activities whenever required or appropriate.

 

   Acquires and maintains office space and capital equipment necessary for the efficient operation of the Association.

 

   Maintains and assures security of all official Association documents, records and data bases.

 

   Maintains a personal continuing-education program devoted to association management and professional society administration.

 

 

Marketing & Communications

 

   Works to increase membership in the Association and to broaden the Association's influence.

 

   Works to increase the influence and benefits of the Association's Designations.

 

   Conducts all internal and external communications, including the Association newsletter and website.

 

   Ensures that the Association's website is accurate, interesting and up to date.

 

   Initiates and manages marketing and public relations campaigns as appropriate to raise awareness in the community.

 

   Maintains a working relationship with other real estate organizations as appropriate.

 

 

Human Resource & Staff Management

 

  Hires, trains, and maintains adequate staff for the execution of Association programs.

 

   Manages staff and makes all personnel decisions.

 

   Develops and oversees administration of personnel policies and procedures, including personnel benefits, performance appraisals, compensation, recruitment, orientation and training.

 

   Oversees maintenance of personnel files and other employee records.

 

 

Strategic Planning

 

   Participates in the strategic planning process with the Board. Tracks trends or developments in the industry that impact the Association's mission, and makes recommendations based thereon.

 

•   Makes recommendations about how to improve the delivery of Association services; and appropriate courses of action for accomplishing the Association's goals.

   Oversees the Association's activities and programs to ensure that they are consistent with and supportive of the Association's goals.

 

 

Advocacy

 

   Participates in the development and oversees the implementation of the Association's public affairs program.

 

   Oversees the activities of the Association's lobbyists.

 

   Assists the Association's Political Action Committee board in raising PAC dollars and making contributions to candidate and issues.

 

   Maintains a good relationship with local governmental officials to help promote Association member goals and related concerns.

 

   Provides local public officials with information necessary for policy decision-making.
